Job Summary :

HR/Payroll Coordinator is a primary point of contact for employees and managers to answer general HR, payroll, and benefit questions through a variety of standardized and operational processes, to provide a shared administrative support resource from a centralized services perspective. The Human Resources Coordinator is responsible for all transactional input, reporting and systems related tactical support for employees and the Human Resources function with a high degree of accuracy with superior customer service.

Essential Duties/Principal Responsibilities:

  • Document and respond to incoming HR queries within identified SLAs via Service Now, emails, walk-ins, or calls.

  • Performing transactions in various HR systems: Workday, Jobvite, and local HR/timekeeping systems.

  • Initiate onboarding, beginning with pre-hire screening and ending with all compliance and informational new hire information in a completed status, including completing I9 and E-Verify step.

  • Initiate off boarding, ensuring all compliance requirements are met and access to employee systems is decommissioned.

  • Maintaining employee documentation as required, such as personnel files, state reports, confirmation of employment eligibility, medical files, etc.

  • Educating employees and managers of services available to them and encouraging self-service tools in Workday, ADP, and other systems.

  • Review change of personal information requests and approve in systems after verifying documentation is received.

  • Ensure local policy, benefits, and any HR related information is kept up to date on employee portal/HR website.

  • Work with GFSS to ensure timely and effective data transfer between the teams and systems, as appropriate.

  • Escalate/triage issues or queries to Shared Service Representatives, Business Partners and/or COEs as needed.

  • Participate in enterprise-wide projects such as HR system upgrades or implementation of new HR technology regionally/globally, including testing and training, as needed.

  • Collaborate effectively with team members in order to execute tasks and fulfill key deliverables within Global Business Services function in order to develop credibility, supporting and backing up Global Business Services peers as needed.

  • Respond to benefit change requests in the benefit portal keeping accurate records of documentation provided in request.

  • Provide union administrative support, updating system information to align with union agreements.

  • Provide customer service support for software inquiries, password resets and general reports.

  • Updates procedures, information systems and technology to reflect changes in legislation prior to effective date of change.

  • Supports audits including internal audits, external audits and internal compliance reviews.

  • Provides data as requested to support internal investigations, regulatory compliance reviews and other reviews.

  • Implements and maintains data privacy contractual framework as required. Additional Responsibilities:

  • Payroll

  • Provides information and answering employee questions about payroll related matters.

  • Enters payroll adjustments and timesheet corrections in Workday or local timekeeping systems.

  • Adjustments include union adjustments, safety equipment reimbursement, etc.

  • Local Leave or Bonus payout program management (includes record keeping and delivery at a local level).

  • Entry of local system updates to sync Workday with salary, job, mgmt. changes, or leave of absence changes.

  • Update union membership and process union dues statement to be sent to the payroll coordinators for monthly processing when supporting directly at a union site.

  • Administrative tasks associated with prevailing wage/certified payroll ensuring documents are completed timely and provided to payroll coordinators for processing. Union Support

  • Respond to employee questions received through inbound calls, visits or emails; refer to provider and/or research questions and follow-up with the requestor as appropriate using procedures, policies, knowledgebase and other reference materials to assist in answering inquiries

  • Updates Workday with union step increases and ensures other HR systems are updated timely.

  • Primarily responsible for onsite job postings, bidding record keeping, and provides union recruitment support as outlined in the union CBA.

  • Assists with union related functions at the facility to include labor agreement preparation, contract interpretation and compliance.

  • Conducts on-site orientation for union new hires.

  • Reviews all new hire orientation information and assures all employee information is entered into Workday accurately and all new hire forms submitted within timeframe required. Maintains records as needed associated with hiring and the orientation process.

  • Assist with the administration of employee benefits plans by responding to employees inquires in a timely manner.

  • Maintains system electronically and creates & maintains required paper and electronic documentation for inclusion in employee files.

  • Benefit Programs - Process requests for payments/awards for programs such as, recognition and tuition assistance. Ensure all requests have the required level of approvals and resolve issues where needed.

  • Provides documentation to support audit requests

  • Submits IT requests as needed

  • Handles special projects/assignments as needed -i.e. Watermark Events, Town Hall Meetings, etc...

  • Provides support for temporary/contract employee hiring, invoicing, and timekeeping as needed at the site.

  • Other duties as assigned Other

  • Provides feedback to assist in developing client services improvement projects (e.g. improve Tier 1 communications, Knowledge base content updates…).

  • Provides language translation support (clarify global level and audience: Mgr. English sufficient or Ee. local language)

Required Qualifications:

Minimal education & experience, essential skills & abilities and required license/certification to perform this job.

  • Associate’s degree in Business Administration, Human Resources, or related field (Bachelor’s degree preferred)

  • 3+ years of related experience in Human Resources as administrative support

  • Demonstrated knowledge of principles and practices of human resources practices, state and federal labor laws and regulations

  • Ability to work independently and function well in a team and matrix structure

  • Ability to act independently and quickly solve problems, make decisions with a strong customer oriented focus

  • Embraces change and demonstrates ability to operate as an agent of change

  • Strong organizational skills, with the ability to handle numerous projects simultaneously, while maintaining high accuracy and attention to detail

  • Treat highly confidential information with utmost integrity

Salary range:

$45,500.00 - $72,500.00
